We plan counters and check-in points against your delegate numbers and arrival pattern, not guesswork. Badges are printed and sorted ahead of the day, QR check-in handles the rush, and a help desk deals with walk-ins and name changes away from the main queue.
Every speaker gets a slide deadline, a technical check and a briefing before they go on. On stage they have a confidence monitor, a clicker and a countdown timer. Off stage, a show caller runs the programme minute by minute and has a plan ready when a session overruns.
Screen size and stage height are set by the depth of the room, so the last row can read the slides. Our production team supplies LED screens, sound and lighting, with a backup laptop and spare microphones standing by. Hybrid and live-streamed sessions run from the same control desk.
Coffee breaks cause more delays than any speaker. We stagger service points, time the kitchen to the programme and cover halal, vegetarian and other dietary needs from the registration data.
