This is how we exceed expectations in event management.
The realities of the industry

The business of large-scale meetings, incentives, conferences, exhibitions, and corporate events is costly. On one hand, you need to allocate for the best facilities, production, and technology. Venue, equipment, and amenities all come together to create an unforgettable experience. It’s not just about executing the most memorable occasion, but more importantly, one that expresses your client’s brand or product in the best way possible. These technical costs usually take up more than half of our expenses.
On the other hand, you need to account for the appropriate personnel and expertise to handle all your technical requirements. From technological demands to production design, venue operation to crowd handling, stakeholder management to marketing, a successful event requires a large team of talents working with the right team of leaders to keep them honest. These personnel manpower costs are critical to delivering on the promise of our technical expenditure.
Technical and manpower costs make up the majority of the expenses in running large-scale events. Managing these costs is difficult – sometimes the budget for that perfect event isn’t just available, and we cannot generate enough revenue to hit our profit margins. Do we reduce the cost and deliver less, or do we reduce our own income?
The ability to answer this question and navigate the bottom line is what makes or breaks one’s prospects to remain in this business.
Hence the big question – how do we ensure that we are cost-effective while providing great value for money? How do we become more sustainable, while going above and beyond to exceed expectations?
Nature of events

You become more cost-effective by impacting your bottom-line – finding ways to minimise your costs. You become more sustainable by finding additional revenue streams without incurring extra costs. Finding a synergy between these two will allow you to exceed expectations.
At TDG Asia, we approach this by first identifying the nature and target demographic of the event. As a seasoned Corporate Event Planner, we understand that different formats, whether a Product Launch, corporate conference, or gala require tailored strategies to balance cost-efficiency with impact.
Public events are events that target the general public at large. They are generally free, but many come with a nominal fee for a visitor’s entry pass. They are seasonal, typically commercially-driven or lifestyle-centric. They are often organised by big brands, media, or government agencies in the form of activations, festivals, conferences, and fairs that are complemented by concerts and carnivals. These events usually last longer than just a few days, sometimes as long as a month. They generate a large footfall. Their programming usually caters to all walks of life.
Private events are events that target a specific community of demographic, usually for a specific occasion. They require some kind of paid registration or guest list for their attendees or participants. They are organised by corporations, organisations, or just anybody that has something to celebrate, usually in the form of annual dinners, R&Rs, product launches, conferences, and activations. They are usually short one or two-day events, with a capped visitor count. Their programming is usually curated to the needs of their attendees and participants.
Understanding the nature of public and private events will help us to be more strategic – we can identify ways to be more cost-effective while providing great value for money.
Revenue streams and cost-effectiveness

For public events, the key to delivering on its objectives is volume. So the goal will be to attract traffic; the higher the footfall, the bigger the visibility. With this level of visibility, the client brand or product can make more sales.
So for public events, the strategy is to leverage on footfall.
An effective revenue stream for planners and organisers of public events is booths. This will generate additional income. We often sell booth spaces at our events to prospective brands and partners so they can offer their products and services to capitalise on the guaranteed high footfall. Different tiers of booth prices can be structured based on the space and location to maximise revenue. These booths can be curated into a marketplace to enhance the event atmosphere and experience.
Another way to leverage on footfall to improve our revenue is by offering partnership packages. This approach impacts our event bottom line instead of by generating additional income. Partnership packages allow us to rope in partners in to provide sponsorship – cash or in kind – and subsidise our event cost. In exchange for their sponsorship, we offer them brand visibility on all event collateral throughout the event period and venue. They will also receive special treatment and benefits, such as free booth spaces to offer their products and services throughout the event, special seats and allocations for the event’s programming, not to mention media coverage, special gift bags and merchandise.
Both the above are common in public events.
For private events, the key to delivering on its objectives is execution. This always caters to the specific needs of the target audience. As an experienced Annual Dinner Planner and Conference Organizer, we ensure every event is structured to maximize engagement while maintaining cost efficiency.
So for private events, the strategy is leveraging our network.
Since footfall isn’t a factor for private events, additional revenue streams isn’t a straight forward option. The more optimal approach is by approaching the right partners and offering strategic partnership packages. This way, you will maintain your good relationships with them by offering them a new, prospective relationship with your client’s event. These packages will include brand visibility benefits such as brand touchpoints (booths and pop-ups) and brand placement (media assets, event collateral, lucky draw prizes etc) at the event. These packages can be structured further, offering more brand presence to bigger partners such as appearances, media coverage, and special seatings, along with gift bags and merchandise.
Strategy and Versatility

There is no one-size-fits-all approach for being cost-effective in the MICE and events industry. Different businesses and planners have different priorities, so understanding yours will help you be more strategic in generating more revenue for your business and improving your bottom line. You must be ready to utilise different approaches and solutions for different situations and clients. This is how we have been able to evolve with the market and remain sustainable all this while.
