10 Event Planning Hacks I Wish I Knew Earlier ✨

Planning events always seems like it’s gonna be fun… until you're 3 days away and realizing you forgot the mic, the ice, and assign someone to take pictures!😩
I’ve planned a few events here and there — some went great, some gave me mild panic attacks (haha jk… kinda). Event always come up with impromptu incidents! but it was great cause, we love these exciting moments and no worries! We ARE good at solving problems! So I thought I’d share a few event planning hacks I wish I knew earlier, so hopefully your next event runs a bit smoother than mine did 😂
1. Start with a Moodboard — Not a Checklist
Before anything else, I’ve learned that having a clear vibe or theme makes everything easier. Pinterest boards, IG saves, even just dumping inspo pics into a folder helps you visualize what kind of event you’re going for. It saves so much time when picking decor, invites, even music.
2. Always Overestimate the Time You Need
If you think you need 2 hours to set up, give yourself 4. Seriously. Something will always take longer — setting up lights, waiting for GrabFood, your balloon arch falling apart 😭
3. Google Sheets Is Your BFF
I used to write everything in random Notes app files or WhatsApp chats. But making one central spreadsheet with tabs for budget, to-do list, guestlist, and vendors? Game-changer. Plus, you can share it with your team and everyone stays updated.
4. Make a ‘Last-Minute Survival Kit’
Pack a small bag with scissors, tape, power banks, pens, cable ties, safety pins, and Panadol. Trust me, you’ll need at least one of these on the day.
5. Assign a “Runner”
You’ll be too busy managing everything, so have someone (a friend or team member) be the go-to person for quick errands or random tasks. Saves your brain from exploding.
6. Keep It Simple Where You Can
Sometimes we over-plan. I once stressed over having personalized name tags for every guest… most people didn’t even wear them 😅 Some things are cute extras, but don’t drain yourself trying to do too much.
7. Don’t Skip the Photo Zone
If there’s one thing people love, it’s taking pics at a cute spot. Even a simple backdrop with fairy lights or a banner makes a difference. It also helps when you wanna post event highlights later!
8. Buffer Time Between Segments
Planning a talk, performances or games? Give 5–10 mins in between to reset, make announcements, or fix any technical stuff. It keeps the vibe chill and not rushed.
9. Always Do a Walkthrough
The day before the event (or at least a few hours earlier), do a mini run-through. Walk the space, test the mic, play the playlist, check the lighting. You’ll spot things to fix that you wouldn’t notice in a plan.
10. Enjoy It Lah!
This one sounds cliché but… don’t forget to actually enjoy your own event. I used to be so stressed, I didn’t eat, didn’t take pics, and didn’t even remember half of what happened. You planned it — make sure you live it too 🥹💖
